Secretary / PA, Commercial Property — Aberdeen

There's a new opportunity to join our Commercial Property team.

We’re currently looking for an experienced Secretary / PA to join our Commercial Property Team in Aberdeen.

This is a varied and fast-paced role, suited to someone who is highly organised, proactive and comfortable managing multiple priorities throughout the day.

The role

The purpose of this role is to provide comprehensive secretarial and administrative support to fee earners within the Commercial Property Team, ensuring the smooth and efficient running of client matters and internal processes.

Your key responsibilities will include —

Mail and correspondence

  • Scanning, saving and distributing incoming mail

  • Identifying and redirecting unknown mail to the appropriate recipient

  • Preparing outgoing mail throughout the day for posting

Dictation and document management

  • Managing dictations and completing associated tasks promptly

  • Organising, printing and scanning documents

  • Compiling offers and leases

  • Arranging for documents to be signed and completed

Client and internal communications

  • Receiving calls from clients and third parties

  • Taking accurate messages and passing them on promptly

  • Contacting clients and solicitors to confirm bank details

Billing and cashroom support

  • Requesting invoices and dealing with remaining balances on files

  • Preparing third party payment forms

  • Completing cash slips for invoices and settlements

  • Preparing CHAPS forms and arranging for signatures

File management and archiving

  • Opening new files

  • Closing files and preparing them for archiving

  • Locating files and documents in the safe or archive

  • Sending documents to the safe as required

Systems and onboarding

  • Using Elite to open new files and produce billing reports

  • Supporting client onboarding through Amiqus

  • Adding costs to matters and saving completed requests to files

General administrative support

  • Managing incoming emails and verbal task instructions

  • Booking meeting rooms

  • Arranging Zoom calls

You will be an organised and reliable team player with strong attention to detail and the ability to manage competing deadlines. You will be comfortable working closely with colleagues, handling confidential information and liaising professionally with clients and external organisations.
