Business support assistant — Aberdeen

We are looking for an enthusiastic and organised individual to join our Business Support team in this varied office-based role.

This position is offered on a part-time basis, working Monday to Friday, 10am–3pm, on an initial fixed-term contract until 31 March 2027, with the possibility of extension should business needs require.

The duties for this office-based role include-

  • Greeting and welcoming clients and visitors with a professional and friendly demeanour

  • Answering and forwarding calls and email enquiries, and managing the general mailbox

  • Servicing meeting rooms to an agreed standard, including maintaining the centralised diary and arranging catering when required

  • Ensuring that reception, meeting rooms, and communal areas are maintained to a professional standard

  • Maintaining relationships with third-party vendors, suppliers and building management providers

  • Ensuring that health and safety, hygiene and hospitality resources are well maintained and readily available

  • Assisting with the maintenance of fire warden and first aid personnel records, along with emergency contact information

  • Handling general administrative tasks, such as travel and booking arrangements, stationery ordering and incoming/outgoing post

  • Supporting the wider team with administrative duties, including recording absences, maintaining training records, staff inductions and support for firm-wide initiatives and projects

  • Providing general administrative and secretarial support where required

Skills

We are looking for an all-rounder, someone who can demonstrate —

  • Excellent interpersonal and communication skills

  • Confidence using Microsoft Outlook and Microsoft Office

  • A well organised approach, whilst maintaining a keen eye for detail and presentation

  • The ability to manage a varied workload and prioritise tasks effectively

  • A proactive and flexible attitude, with the ability to work well both independently and as part of a team

  • A professional and approachable manner when dealing with clients, visitors and colleagues

For this role, our ideal candidate will have a full UK driving licence, though this isn’t essential.

You’ll also be self-motivated, enthusiastic and keen to support the smooth day-to-day running of the office.
